Booking Terms & Conditions
Last updated: 13 June 2026. By confirming a booking, you (the “Guest”) acknowledge that you have read and accepted these Booking Terms & Conditions, which govern the relationship between you and Olga Golubeva, licensed private tour guide based in Rome, Italy (the “Guide”).
1. Booking process and confirmation
All tours, masterclasses and additional services proposed on olgagolubeva.com are tailored on request. A booking is initiated by sending an enquiry through the contact form, by email, WhatsApp or Telegram. Within 24–48 hours the Guide will reply with a personalised itinerary, duration, inclusions and a written quotation. The booking is considered firm and confirmed once the Guest has (a) accepted the quotation in writing and (b) paid the agreed deposit (when applicable).
2. Pricing and payment
All prices are expressed in euros (EUR) and are valid for the dates and party size stated in the personalised quotation. Unless otherwise specified, prices include the Guide’s professional services for the agreed duration and any private transport, entrance tickets or third‑party services explicitly listed. Prices exclude personal expenses, gratuities, meals (unless specified), and any service not listed in the quotation.
For tours under EUR 1,000 the full amount is due no later than seven (7) days before the start of the service. For tours of EUR 1,000 or more, a deposit of 30% is requested to confirm the booking, with the balance due at the latest seven (7) days before the start. Accepted payment methods include bank transfer (SEPA / SWIFT) and selected international payment platforms (the available methods will be specified in the quotation).
3. Tickets, reservations and museum admissions
Several iconic Roman sites (Vatican Museums, Borghese Gallery, Colosseum “arena floor” and underground areas, Domus Aurea, Galleria Borghese, etc.) require timed‑entry reservations issued by the relevant institutions. These reservations are nominative, strictly personal, and once issued they are non‑refundable and non‑transferable, even if the Guest cancels the tour. The Guide will inform the Guest of any such non‑refundable component before purchasing the tickets on the Guest’s behalf.
4. Cancellation and refund policy
Cancellations must be communicated in writing (email or messaging app). The following standard schedule applies, calculated from the agreed start date of the service:
- More than 30 days before: full refund of the deposit, minus any non‑refundable third‑party tickets already purchased.
- From 30 to 15 days before: 50% of the deposit retained.
- From 14 to 8 days before: 100% of the deposit retained; any balance already paid is refunded minus non‑refundable tickets.
- Less than 7 days before, or no‑show: full price retained, except for non‑refundable tickets which remain due in any case.
Cancellations attributable to documented force majeure (serious illness with medical certificate, official travel restrictions, public‑authority closure of the visited site) are handled case‑by‑case in good faith; the Guide will propose, where possible, a postponement of the service at no additional cost.
5. Modifications by the Guest
Date, duration or party‑size changes requested by the Guest will be accommodated whenever the Guide’s and partners’ availability allow it. Modifications requested less than 7 days before the service may trigger additional fees (re‑booking of museum slots, private transport, etc.), which will be communicated in writing for acceptance before any change is applied.
6. Modifications by the Guide
The Guide reserves the right to modify the itinerary, the meeting time or the proposed itinerary order if circumstances beyond her control require it (unannounced site closure, strike, exceptional weather, public security event, etc.). In such situations an equivalent alternative will be proposed; if no alternative is possible, the corresponding portion of the service will be refunded.
7. Punctuality and meeting point
The Guest commits to being at the agreed meeting point at the time confirmed in the final itinerary. A grace period of fifteen (15) minutes is observed; beyond this period, museum entries already reserved may be forfeited and the duration of the tour reduced accordingly without any refund. Should the Guest be unavoidably delayed, immediate notification by phone or messaging app is essential.
8. Conduct, dress code and access to religious sites
Access to the Vatican Museums, St Peter’s Basilica and most Roman churches requires shoulders and knees to be covered (both for men and women). The Guide will share, before the tour, the dress‑code recommendations and any specific security guidance. The Guide reserves the right to interrupt a service in case of behaviour disrespectful towards the cultural heritage, towards her person or towards other participants, without entitlement to refund.
9. Health, mobility and accessibility
Most tours include moderate walking on cobblestone streets and uneven surfaces; suitable footwear is strongly recommended. Guests with reduced mobility, chronic conditions or specific allergies are kindly asked to inform the Guide at the time of booking, so that the itinerary can be adapted, an accessible vehicle reserved or alternative routes proposed when feasible.
10. Children
Minors are welcome and tours can be adapted to the age of the children. Minors remain under the permanent responsibility and supervision of their parents or legal guardians throughout the duration of the service. Vatican Museum policies require children under six (6) to be accompanied; specific reduced or free admissions, when applicable, are passed on to the Guest at cost.
11. Insurance and liability
The Guide holds the professional civil liability insurance required by Italian regulations for licensed tour guides. This insurance covers the Guide’s own professional activity; it does not replace personal travel, health or repatriation insurance, which the Guest is strongly advised to subscribe to before travelling to Italy. The Guide cannot be held responsible for personal items lost, stolen or damaged during the tour, nor for any accident or harm resulting from circumstances beyond her direct control.
12. Photography, video and personal data
Photographs or videos taken by the Guide during the tour, in which the Guest appears, will only be used on olgagolubeva.com or on its social media with the prior, explicit and revocable consent of the Guest. The personal data collected at the time of booking (name, contact details, dietary requirements, payment information) are processed in accordance with Regulation (EU) 2016/679 (GDPR) for the sole purpose of executing the service and fulfilling related legal obligations.
13. Languages of service
Tours and masterclasses are offered in Russian, English and Italian. Other languages may be arranged on request via partner‑guides accredited by the Guide.
14. Complaints and applicable law
Any complaint must be addressed in writing to the Guide within thirty (30) days following the end of the service. These Booking Terms & Conditions are governed by Italian law. In the absence of an amicable solution, exclusive jurisdiction is granted to the competent courts of Rome.
